Instructions were given to Jim Smith for the retainer payment.  David made an update with Pam and the Members of the RR and Bylaw committee to determine method of communication.

 

Information – Beef Promo Data – Unofficial Beef Project (continued)

Discussion continued regarding the data project on Dexters for use in promotion.

 

Information - Regional Elections (continued)

Election results were received from Pat Mitchell with zero unofficial ballots – all had the ADCA seal imprinted.

 

Region 6 - 46 total votes                       Region 7 – 68 total votes

Consensus was to send election ballots to Jim Smith to place in the storage unit for as long as the board would like.  It was recommended that, like records for tax purposes, they be kept for 7 years.

 

Joanie volunteered to draw up guidelines for all future nominations and elections.

Information – Use of duplicate farm herd prefixes for a single farm.

In keeping with past practice (allowing for more than 1 herd prefix for a single farm) then both prefixes should be recorded as herd names belonging to an individual farm which would make it impossible for any one else to use the same prefix.

Up-dated registration policy should address the potential transfer from another registry, and likewise if a name is already taken in the ADCA registry, the name would have to be modified to reflect the farm origin of the animal in question

Wording of the clarification of registration policy will be made by committee.

 

Information – Show Results Reports Format (continued)

After board review and comments regarding the formats used by the four different shows (that were published in the Fall 2007 Bulletin), Joanie volunteered to prepare a standard format so the show results would be easier to read. 

 

Motion to Accept 2007 BOD Minutes

   A motion was made by Robert Seddon to  accept the minutes of the 2007 Board of Director meeting minutes from Thursday and Sunday meetings for publication and permanent records as sent out by Carol Ann Traynor on 12/7/2007.

Motion seconded and passed….. Yeah – 7   Nay – 0   Abstain – 2

  

Information – New ADCA Ad

 A photo ad was placed in the Livestock Magazine distributed by Tractor Supply four times a year.   Robert felt that the audience is well targeted to Dexter people, as a lot of Dexter owners shop there.

 

Information – ’07 Herd Book (continued)

Chuck reported the Herd Book is made up of reports that he runs and then puts it together. We pay $10.50 for the printing and binding the 343 page Herd Book, shipping is $2.47. There is not cost for publishing it or shipping by media. Chuck tried to save money by sending the Herd Book as media mail. It would have cost nearly $5 each to do regular mail. They are being sent as quickly as he gets orders and has them ready to mail. He would like to know what condition they are in when they arrive.

 

Administrative – Workyoke voting procedures

There was discussion regarding the procedures regarding absentee ballot voting.  It was suggested that an addition to the guidelines to cover procedure for topic removal and absentee voting is needed.
