JUNE 28, 2009 – FORT DODGE, IOWA

2009 AGM Board of Directors Meeting (continued) 

Sunday, June 28, 8:05 a.m.

Board Members at Large:   Robert Seddon & Rick Seydel
All Board Members and Officers were Present with the exception of the Vice President.

 UNFINISHED BUSINESS:

  •  Board Votes Recorded by Roster

Clay Adams moved that all votes taken in an official meeting by the ADCA BOD be recorded by roster except for votes taken in an executive session.  
Motion seconded by Warren Coad.   Motion passed unanimously.

  • 2010 AGM Dates

Dates for the 2010 dates considered were June 17th through the 20th (Father’s Day) or the following week June 24 through 27th.   The weekend of June 24th through the 27th will be the dates for the 2010 AGM.

  • Random Parentage Testing

Discussion was that Genotyping has been found to be a far more effective method than Random Parentage Testing.

Pam Malcuit moved to table the 2008 motion for Random Parentage Testing with a statement from the Pedigree/Genetics Committee explaining the reason for tabling of the motion.  Motion seconded by Dan Butterfield.  Motion passed unanimously.

  • Bulletin Deadline

The submission deadline of AGM information for the next Bulletin is July 15th.

A strong reminder needs to be published regarding the requirement for Genotyping of all sires of all calves born after December 31st, 2009.

  • Genotyping

Possible problems with the genotyping program were discussed.  All sires of calves born after 12/31/09 must have the sire genotype on file.  If the sire’s genotype is unavailable, the problem will be referred to the Pedigree/Genetics Committee and a Standard Operating Procedure will be followed in resolving the registration problem.

It was suggested that an official letter be sent to the PDCA stating the position of the ADCA in registration of calves born in 2010. 

  • Youth Program

A request for additional funds over the $1500 budgeted for the youth program was considered.  These funds would be used for general marketing expenses and pamphlets.  Additional money for shows should be requested through the Director in the Region hosting a show and come from funds already budgeted to each Region for shows and events.

*Pam Malcuit moved to add $500 (to be annually renewable) to the Youth Program for promotional purposes. 

Roberta Wieringa seconded the motion.  Motion passed unanimously.

*Clay Adams moved that a line item be added to the membership dues form to allow for donations to the Youth Program. 

John Foley seconded the motion.  Motion passed unanimously.

  • Automatic Qualification of Genotyped Animals

There was discussion regarding the automatic qualification of an animal whose sire and dam are DNA tested.  As long as animal names are submitted correctly, this is not a problem.    Most registration errors are due to the submission of incorrect information……names are a problem, registration numbers are more accurate. 

  • Member Handbook

Sandi Thomas and Pam Malcuit are currently working on a handbook for new members to assist them in filling out and submitting ADCA forms. 

  • Consistency of Show Classes

There was discussion regarding show standards and consistency of classes at the AGM and other ADCA Dexter sanctioned events.  Special attention needs to be paid to breaking large classes into smaller divisions as well proper show ring dress requirements.

This was sent to the Show and Sale Committee.

  • Membership Directory

The last Membership Directory was published in 2007.  Chuck Daggett, Registrar, is to put together an inexpensive publication to be included with the next Bulletin.

  • AGM Suggestions

Several suggestions were made to make the next AGM even better:

1.      Even though the AGM is a hectic event for the Officers and BOD Members, we should all take the time to welcome ‘new faces’ when we see them.

2.      Concentrate on the flow of animals entering and leaving the show areas for safety reasons and to prevent accidents with exhibitors and spectators.

3.      Each Director needs become more personally involved by assuming at least one portion of the event in planning and working at the AGM.
